Less Admin, More Club: A Practical Guide to AI Tournament Management

24 September 2026 · Foremates

A club tournament should give your team something to look forward to. Too often, the days before it disappear into repeated questions, revised player lists and a spreadsheet that only one person really understands. Software and AI can help you organise that work so more of your attention stays with the golfers.

The best place to start is one tournament and a few specific jobs. Give each job a clear owner, keep the event information together and decide what a good result looks like. A calmer check-in and fewer last-minute questions are useful outcomes in their own right.

Start with the jobs that interrupt your team

Ask the organiser, professional shop and hospitality team what they have to explain more than once. It might be arrival times, a format change, where guests should register or when food is served. Those recurring questions tell you where better information will make the biggest difference.

Put a short event brief together before choosing any automation. Include the date, course, format, player numbers, key timings and the person responsible for changes. Keep confirmed details separate from decisions that are still open. Software gives that plan a home; AI can help turn it into useful drafts and summaries.

Use AI to make the first plan easier to review

A useful planning prompt explains the event and the output you need. Ask for a checklist, a suggested order of work or a list of missing information. Avoid asking AI to invent tee availability, competition rules or commitments on behalf of the club.

An example planning prompt

“Using the confirmed details below, draft a checklist for our club tournament. Group the tasks into before the day, on the day and after the round. Flag anything that needs a decision. Do not invent dates, timings or player details.”

This is a starting point for your team to review. Check the plan against the course arrangements and the people doing the work. A polished checklist only helps if it reflects what is actually happening.

Make player updates clear and consistent

Write one short arrival message with the essentials: where to go, when to arrive, what to bring and who to contact. Use your event software to keep the current plan easy to find. An AI writing tool can help shorten a long brief or create a friendly reminder from the same confirmed information.

When something changes, say what changed, who it affects and what they should do next. Review names, times and links before sending. Your team should have an agreed route for urgent updates so players are not comparing different instructions from several channels.

Keep the live experience simple

On tournament day, players want to get on with their round. Explain the scoring process before they start, identify the person who can help and make the leaderboard easy to find. Foremates brings round planning, live scoring, leaderboards and GPS yardages into the player experience.

Use the live information to answer practical questions. Are scores coming through? Does a group need help? Is there a correction to check before the results are announced? Keep the final competition decisions with the organiser rather than treating an AI summary as the official result.

Turn the report into a better next event

After the round, gather the confirmed results, attendance and feedback that your team has permission to use. AI can help organise those notes into themes, but ask it to separate observations from suggestions. “Several guests asked about arrival parking” is an observation; “send a parking map with the reminder” is a possible action.

Choose two or three changes for the next tournament. Give each one an owner. If you want to measure time saved, compare the time spent on the same jobs across similar events. Keep the comparison modest: a different field size or format can change the workload.

Keep golfers connected afterwards

The event need not be the last time players use the app. Sharing the results, planning another round and keeping the group together gives golfers a natural next step. It also gives the club a useful reason to stay in touch beyond a thank-you message.

That is the value of joining up the organiser’s work and the player experience: less repetition for the team, clearer information for golfers and a better starting point for the next tournament.
